Application - Time Tracking & Reporting System

The application for quick project reporting for employees and their supervisors. Functions that are divided into user roles. The tool has a chat bot, especially dedicated to new users but also a support page and page with all information about the app. That project was a process of close collaboration with business analytic, busies side and technical team. During the couple months we created and developed the application.

Problem

Too time-consuming process of recording hours worked in the application. Both groups of users complained about too complicated, slow (even freezing) and consuming too much time weekly for hour reporting. These were users who can be divided into: employees performing their tasks and managers recording hours for their tasks and accepting hours of people from the project for which they were responsible.

After previous interviews with users, gathering user expectations and business specification, preparation of a new application for reporting working hours.

The first round of usability tests was a success for Group A. Success was achieved, i.e. a significant reduction in the time of reporting working hours in the application. Users even talked about reducing the time from 10-15 minutes to only 3 minutes.

Group B did not achieve such improvement. Unfortunately, it was not possible to improve the quality of reporting hours and acceptance of hours. But thanks to these tests, I better understood where the problem was. Conversations with users made me aware of what needs to be fixed, where the pain points are.


After summarizing the tests, I presented the successes (regarding the version of the application for Group A) and the still occurring problems in the application for managers (group B). Additionally, in this summary I presented proposals for solving problems and exchanged observations with developers.

Kick-off: I went through key business expectations to understand the purpose of the project

User Interviews and Usability Tests: The most exciting part of this project. Understanding the needs and priorities of users. Studying their behavior, reactions to the way the application is used. Sharing observations with me.

A very important stage, on which I devoted the most time, thanks to which the project goal was achieved after only the 2nd round of usability testing.

Wireframes and Hi-fi design: I prepared wireframes and hi-fi mockups which I then presented to the team and we discussed the prioritization of tasks

💪 Outcome

Meeting the expectations of project managers. A more complicated version of the application dedicated to the role of a manager was a bigger challenge, but at the same time brought greater satisfaction when the goal was achieved.


I perfectly practiced my research skills and better understood the needs of scientists.
